A practical journey to explore

A CLOSER LOOK

Keep the admission conversation attached to the application.

A missing document, a review decision and an accepted offer should be easy to distinguish. VidyOmni retains the application’s status, owner, supporting records and transition history so the admissions team can move each case forward with context.

A managed application queue

Search and filter applications by status, then assign responsibility for the next action. Review the application and its history in the same workbench.

Documents with a review state

Record required documents, receive supported uploads and distinguish receipt from verification. Request information when the application needs clarification.

A private applicant journey

Published institution portals let applicants submit and follow their case using an application reference and private access token. Available actions follow the current stage.

A deliberate enrollment handover

Convert an eligible enrolled case into the student and enrollment records. Preserve admission provenance instead of starting a disconnected profile.

HOW IT WORKS

From application to an established learner record.

Keep review, applicant action and student creation as clear checkpoints.

IN PRACTICE · 01

Less uncertainty for applicants and administrators.

A good admission process makes the current position and the next responsibility understandable.

For the admission desk

See case ownership, status and document evidence before taking an action. Reasons and transitions remain attached to the case.

For the applicant

Use the private tracking credentials to check safe status information, upload requested documents and take permitted actions. Keep the private token secure because it authorizes access to that application.

For the records team

Receive a converted learner record with admission context and enrollment placement. Review the created records before using them in academic operations.

COMMON QUESTIONS

A few details
worth getting right.

Questions about your institution’s exact setup? Prepare a focused request.

Find the right contact route
Does submitting an application immediately create a student?

No. Public submission creates an admission case at the Submitted stage. Student creation follows the institutional review, enrollment stages and explicit conversion action.

Can applicants see other applications?

The public portal uses an application reference and private access token for that application’s supported status, document and response actions. It does not provide a public list of applicant records.

What must be ready before we publish admissions?

Confirm the institution’s public site settings, active campuses and education levels, required document checklist and published privacy notice. Rehearse review, information requests, offer acceptance and conversion with a representative case.
