A practical journey to explore

A CLOSER LOOK

Give the fee conversation a reliable reference.

A family query should be answerable from the learner’s ledger, not several competing spreadsheets. VidyOmni connects the invoice, allocated payment, receipt and approved adjustments so the finance team can explain the balance.

Structured fee demand

Prepare versioned fee structures, review their approval state and issue supported student demand from the applicable structure.

Allocated collections

Record payment methods and allocate amounts to invoices. Capture receipts and follow controlled reversal operations with reasons.

Concessions and refunds

Review concession and refund requests through separate decisions. Record an approved refund’s payout reference and supported financial posting.

Ledgers and period review

Review learner balances and aging, and work with ledger accounts, journals, fiscal periods and trial balances in finance.

IN PRACTICE · 01

Useful detail at the collection desk and in finance.

Operational records support explanation as well as control.

At the collection desk

See the learner’s invoices, payments and remaining balance. Record method and allocation details so the receipt can be traced to the demand.

During exception review

Keep concessions, refunds and payment reversals distinct. Review available amounts, request details and required approvals before making a change.

At period close

Work with supported journal review, posting, reversal and trial-balance operations. Confirm ledger mappings and open fiscal periods before financial posting.

COMMON QUESTIONS

A few details
worth getting right.

Questions about your institution’s exact setup? Prepare a focused request.

Find the right contact route
Does selecting UPI or card automatically collect a payment?

No. Those methods can identify a recorded payment; they are not proof of a live gateway connection. Online collection needs a separately verified provider setup and operational reconciliation process.

Can we review concessions and refunds before they affect records?

Current fee governance includes submitted concession and refund cases, explicit decisions and recorded outcomes. Refund posting requires an approved case, the supported available amount, a payout reference and the required finance setup.

Is this a complete tax, banking or statutory accounting package?

The described scope covers institutional fee records and supported accounting operations. Confirm tax treatment, statutory reports, bank formats, settlement matching and any external accounting integration as specific requirements.
